WhatsApp Business API: A programmatic interface that lets software systems send and receive WhatsApp messages. You connect it to marketing platforms, CRMs, and chatbots. Requires a third-party business solution provider (BSP). Not free.

Think of it this way: the App is for human-to-human WhatsApp communication. The API is for system-to-human WhatsApp communication.


WhatsApp Business App: Who It Is For

Best fit: Early-stage startups with under 500 customers who are personally managing customer communication.

What You Get

Business profile: Add your business name, description, address, website, and business hours. This appears when customers view your profile and when they search for your business.

Quick replies: Pre-set responses to common questions. Type ”/” and a shortcut to insert a full response. Saves time on repetitive questions.

Labels: Organize contacts by status. “New customer,” “Order pending,” “Returned,” “VIP.” Helps manage customer relationships without a CRM.

Broadcast lists: Send one message to up to 256 contacts simultaneously. Each recipient receives it as a personal message (they do not see other recipients). The catch: contacts must have your number saved to receive the broadcast.

Catalog: Add up to 500 products with photos, descriptions, and prices. Customers can browse your catalog within WhatsApp.

Automated messages: Set a greeting message for new contacts, an away message when you are unavailable, and basic automated replies.

The Hard Limits

256 contacts per broadcast. This is the most significant limitation. You cannot broadcast to 5,000 customers. You would need approximately 20 broadcast lists and 20 manual sends.

Manual operation. Every message from a customer requires a human to respond. There is no chatbot or automation.

One phone number, one device. You cannot use the Business App across multiple devices with the same number. One account, one device.

The Requirements

Verified Facebook Business Manager account. You need a verified business identity on Meta’s platform.

Business Solution Provider (BSP). You cannot connect to the API directly. You use a BSP like Wati, Interakt, Gupshup, AiSensy, or Zoko who provides the connection.

Approved message templates. All outbound marketing messages (messages you send first, not in response to a customer) must use pre-approved templates. Templates are reviewed and approved by WhatsApp typically within 24 to 48 hours.

Verified phone number. The number you use for the API cannot also be used on the WhatsApp Business App. You need a separate number dedicated to the API.

Cost Structure

BSP subscription: ₹1,500 to ₹10,000/month depending on the platform and features.

WhatsApp conversation charges: Meta charges per conversation (a 24-hour messaging window), not per message.

  • Marketing conversations: approximately ₹0.64 per conversation (India)
  • Utility conversations (order updates, OTPs): approximately ₹0.15 per conversation
  • Service conversations (customer-initiated): approximately ₹0.09 per conversation

Example cost calculation: If you send a broadcast to 5,000 customers every week, that is 5,000 marketing conversations per week = ₹3,200/week in conversation charges = ₹12,800/month in conversation charges, plus your BSP subscription.


The Upgrade Decision: When to Move from App to API

Move to API when:

The Migration Process

Moving from WhatsApp Business App to API:

  1. Get a new phone number (you cannot migrate the App number to API without a transition period)

  3. Get your API number verified and approved (typically two to five business days)
